How to archive the messages that are sent and received by MailEnable


SUMMARY

How to configure MailEnable to monitor or capture e-mails and archive them to a specific mailbox or SMTP address.

DETAIL

For security and legislative reasons in some countries and workplace, it is necessary to archive all messages that are sent and received by mail servers. MailEnable Professional Edition and Enterprise Editions can define filters and actions that are executed as messages pass through the mail system.

As such, it is possible to create a global message content filter that actions on all messages that are processed by the MailEnable MTA agent and forwards them to a specified mailbox.

Archiving sent/received messages (MailEnable Standard):

  1. Download the following utility "MESNOOP" from the following link: https://www.mailenable.com/utilities/addons/MESNOOP.zip
  2. Follow the readme.txt file within the .zip file for instructions on how to setup the MTA pickup event to archive mail to a specific mailbox.

Archiving received messages (MailEnable Professional and Enterprise):

The Professional and Enterprise versions allow you archive all inbound email into a archive mailbox based on the date. This is configured in the administration program, by expanding the Servers->localhost->Services and Connectors branch, right clicking on the MTA icon and selecting Properties from the popup menu. Clicking the Archiving tab allows you to enable this feature.

Archiving sent/received messages (MailEnable Professional and Enterprise):

  1. Navigate within the MailEnable administration console to the following location: Messaging Manager->Filters and right click on "Filters" and select "New->New Filter" from the popup menu. Name the filter "Archive all messages".
  2. Once created the filter double click on the filter (in the right hand side pane) to open the criteria window. In the criteria list locate "All messages - Process filter actions for all messages" and double click the criteria to access the properties window. Tick the "Enabled" tickbox and then "OK".
  3. Next click on the "Add actions" button located under the criteria list window to add a filter action. In the actions list locate "Forward to address" and double click on it to open the action's properties window. In the address field specify the mailbox address for mail archiving.

Archiving sent/received messages for a specific mailbox or domain (MailEnable Professional and Enterprise editions):

Received messages:

  1. Navigate within the MailEnable administration console to the following location: Messaging Manager->Filters and right click on "Filters" and select "New->New Filter" in the menu. Name the filter "Inbound - (mailboxname)".
  2. Once created the filter double click on the filter (in the right hand side pane) to open the criteria window. In the criteria list locate "Where the To or Cc header line contains specific words" and double click the criteria to access the properties window. Tick the "Enabled" tickbox and then tick the option "Use a short word list".
  3. Next click within the "Use a short word list" window and add the text *emailaddress* (or *@domain* if you wish to just filter by domain), where the "*" are wildcard entries. Click the "Add" button to add the entry to the list and then click "OK".
  4. Next click on the "Add actions" button located under the criteria list window to add a filter action. In the actions list locate "Forward to address" and double click on it to open the action's properties window. In the address field specify the mailbox address for mail archiving.

Sent messages:

  1. Navigate within the MailEnable administration console to the following location: Messaging Manager->Filters and right click on "Filters" and select "New->New Filter" in the menu. Name the filter "Outbound - (mailboxname)".
  2. Once created the filter double click on the filter (in the right hand side pane) to open the criteria window. In the criteria list locate "Where the From header line contains specific words" and double click the criteria to access the properties window. Tick the "Enabled" tickbox and then tick the option "Use a short word list".
  3. Next click within the "Use a short word list" window and add the text *emailaddress* (or *@domain* if you wish to just filter by domain), where the "*" are wildcard entries. Click the "Add" button to add the entry to the list and then click "OK".
  4. Next click on the "Add actions" button located under the criteria list window to add a filter action. In the actions list locate "Forward to address" and double click on it to open the action's properties window. In the address field specify the mailbox address for mail archiving.
